1. Who We Are

Scout is an AI-powered recruitment platform operated by Scout AI. We help companies screen and evaluate job candidates using artificial intelligence.

2. What Data We Collect

When you apply for a role through Scout, we collect:

  • Your name and email address
  • Your CV / resume (uploaded by you)
  • Your responses to AI-guided survey questions
  • Your written task responses
  • A transcript of your AI voice interview (voice audio is not retained after transcription)
  • Your stated salary expectation (if you choose to share it)

3. How We Use Your Data

We use your data solely to evaluate your suitability for the role you applied for. Specifically:

  • Your CV is analyzed by AI to identify relevant experience
  • Your survey responses help assess skills and motivation
  • Your task response demonstrates practical ability
  • Your interview transcript is evaluated for communication and role-specific competencies

We do not use your data for any other purpose, and we do not sell your data to third parties.

4. AI Processing and Your Rights (EU AI Act)

Scout uses artificial intelligence throughout the application process. You will interact with AI systems during the survey and voice interview stages. All AI evaluations are reviewed by a human recruiter before any hiring decision is made.

Under the EU AI Act (Art. 22), you have the right to request human review of any automated assessment. To exercise this right, contact hello@scout-rec.com.

5. Data Retention

Your application data is retained for 6 months after the role you applied for is closed. After this period, your data is deleted from our systems. You may request early deletion at any time by contacting hello@scout-rec.com.

6. Third-Party Services

We use the following third-party services to operate Scout:

  • Supabase (database, EU region)
  • Anthropic / Claude (AI evaluation)
  • Vapi (AI voice interview infrastructure)
  • Resend (transactional email delivery)

Each provider is bound by a Data Processing Agreement and handles your data in accordance with GDPR.

7. Your Rights Under GDPR

As a data subject, you have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to automated processing
  • Lodge a complaint with your national data protection authority
